SEO & AI search playbook for sales tools

Sales people search in the middle of work: a cold email for a specific situation, an objection response, a follow-up after no reply. Those searches are short-lived, practical and repeated every day across thousands of reps.

Sales tools also face a specific temptation: generating pages from scraped company and contact data. It can create a huge number of URLs quickly, and it's also where privacy law and Google's spam policies meet.

Risky page types

  • Company and person profile pages from scraped data

    Pages like “[Name] email at [Company]” can create millions of URLs. They raise privacy issues in many jurisdictions, and if they add nothing but a scraped record, they fit Google's scaled content abuse description.

  • One template per industry with only the noun changed

    “Cold email for dentists” and “cold email for lawyers” with identical structure is a doorway pattern. Merge them and explain what to adapt.

Technical pitfalls

  1. Chrome extension listing outranking your site

    Many sales tools ship a browser extension, and the store listing can rank for your brand. Make the listing accurate and link it to your site, but make your own site the fuller answer.

  2. Templates inside a client-side widget

    If templates load through JavaScript after a click, Google may never see the text. Render the template in the HTML.

  3. Gated ROI calculators

    A calculator that only shows a result after an email form gives Google nothing to index and users nothing to share.

How AI assistants answer questions in this category

Reps ask assistants to write emails, so generic template queries often get answered without a citation. Citations show up for tool selection (“best sales engagement tool that works with HubSpot”) and for specific methods (“what's a good cadence for outbound to enterprise?”), where the assistant looks for a source to back the answer.

What tends to earn a citation

  • A clear statement of which CRMs you integrate with and what syncs, on a crawlable page.
  • Method pages that commit to a specific recommendation and explain why, rather than listing every option.
  • A consistent product description across review sites, directories and your site.

    Sales leaders share useful templates and scripts. A free, ungated library is easy for them to link to.

  • CRM marketplaces

    List in the app marketplaces of the CRMs you integrate with. It's where sales ops teams go looking.

  • Extension and SaaS directories

    If you ship an extension, browser extension directories fit. Otherwise use SaaS directories.

  1. Days 1–30

    Template research

    • Ask your customer-facing team for the 25 situations reps ask about most.
    • Audit which templates on your site render in HTML.
    • Decide, in writing, that you will not publish person-level pages.
  2. Days 31–60

    Library and integrations

    • Publish the first 15 situation templates with variants.
    • Ship integration pages for each CRM you support.
    • Clean up the extension store listing if you have one.
  3. Days 61–90

    Motion playbooks and loop

    • Write two or three sales-motion playbooks with a clear recommendation each.
    • Merge template pages that Search Console shows competing for the same query.
    • Rewrite titles on templates at positions 5–20.

What to watch in Search Console

The Performance report gives clicks, impressions, CTR and average position by query, page, country, device and date. Traffic from Google's AI features is counted there too, under the Web search type (Google).

If two templates show up for the same query in the Performance report, they're competing. Merge them.
Signups from template pages
Template traffic is broad. Watch whether it turns into trials before expanding.
Brand queries that include “extension” or “chrome”
Shows how many people look for the extension by name, and whether your site or the store listing gets the click.

Frequently asked questions

Can we publish company pages from our data?

Company pages built from public, factual information with real analysis can be fine. Person-level contact pages are risky for privacy and add little a user needs. We don't recommend them.

Are cold email templates too competitive to rank?

Broad queries are. Specific situations are not, and they're what reps search mid-task.

Do CRM marketplace listings help SEO?

They give a relevant link and, more usefully, put you in front of teams already using that CRM.

Should templates be one long page or many pages?

One page per situation when the situations differ. Keep a hub page that links to all of them by stage of the deal.
